Tahoma Lacrosse Board Responsibilities

Position

Responsibilities

President

  • Attend 90% of all TLAX Board meetings
  • Oversee all aspects of the Club
  • Conduct all board meetings
  • Order Insurance
  • Review the financial budget for Board approval prior to September meeting
  • Address complaints regarding coaches, players or parents
  • Serve on the scholarship committee

Vice President

  • Attend 90% of all TLAX Board meetings
  • Oversee Spirit wear
  • Serve as Registrar
  • Respond to most of the Club communications (emails)
  • Assist with the financial budget with the Treasurer for board approval
  • Serve on the scholarship committee
  • Oversee Sponsor program
  • Coordinate Sponsor plaques and send Thank you letters to all Corporate Sponsors
  • Oversee Cub program
  • Coordinate picture day
  • Manage website

Secretary

  • Attend 90% of all TLAX Board meetings.
  • Publish agenda prior to Board meetings.
  • Publish Meeting minutes following the board meeting in which they are approved (typically minutes from a meeting are posted after the next scheduled meeting).
  • Order criminal background checks on coaching candidates
  • Assist with Registration
  • Work with Treasurer on coaching contracts for each season.
  • Assist with tournament coordination and registration

Treasurer

  • Attend 90% of all TLAX Board meetings
  • Manage all Finances (Quick Books)
  • Help with online registration (credits/refunds).
  • Reconcile bank statements
  • Pay Bills
  • Taxes
  • Prepare the financial budget for board approval and keep it up-to-date for monthly board meeting reviews
  • PO Box Key – pick up mail
  • Work with Secretary on coaching contracts for each season.
  • Serve on the scholarship committee

Boys Program Director

 

  • Attend 90% of all TLAX Board meetings
  • Works in partnership with the Varsity Head Coach
  • Support the Boys Youth Director
  • Responsible for the formulation, implementation, and day-to-day administration of all boys athletic programs of TLAX
  • Present coaching candidates for the Boys Program, along with their qualifications, to the Board for consideration prior to the beginning of the regular season
  • Oversee player and coach development
  • Guides the HS Boys Booster Club in actions and fundraising activities
  • Represents the needs of the boy’s HS program to the Board.
  • Ensure TLAX representation at all required league meetings
  • Ensure all HS game uniforms meet league and NFHS specifications
  • Address complaints regarding a coach, by any player or parent
  • Evaluate the TLAX Boys coaching staff
  • Work with the Logistics Coordinator and others to reserve practice and game field

Girls Program Director

 

  • Works in partnership with the Girls High School Head Coach
  • Attend 90% of TLAX Board meetings.
  • Support the Girls Youth Director
  • Present coaching candidates for the Girls HS Program, along with their qualifications, to the Board for consideration prior to the beginning of the regular season
  • Coordinates girls program communication
  • Ensure all game uniforms meet league and NFHS specifications
  • Oversee HS player and HS coach development
  • Assists the high school coaching staff as needed
  • Ensures TLAX representation at all required league meetings.
  • Evaluate the TLAX Girls coaching staff
  • Addresses issues or concerns related to coaches, parents, or players.
  • Work with the Logistics Coordinator and others to reserve practice and game field
  • Represents the needs of the girls program to the Board.

Boys Youth Director

  • Attend 90% of all TLAX Board meetings
  • Works with the Boys Program director
  • Responsible for the implementation, and day-to-day administration of all of all boys youth athletic programs of TLAX
  • Oversee youth player and coach development
  • Oversee Team Parents
  • Represents the needs of the Boys Youth program to the Board.
  • Ensures TLAX representation at all required league meetings
  • Ensures all Boys Youth game uniforms meet league & NFHS specifications
  • Address complaints regarding a coach, by any player or parent
  • Assist the Program Director with evaluation of the Boys Youth coaches
  • Work with the Logistics Coordinator and others to reserve practice and game fields.
Girls Youth Director
  • Attend 90% of all TLAX Board meetings
  • Works with the Girls Program director
  • Responsible for the implementation, and day-to-day administration of all of all girls youth athletic programs of TLAX
  • Oversee youth player and coach development
  • Represents the needs of the Girls Youth program to the Board.
  • Ensures TLAX representation at all required league meetings
  • Ensures all Girls Youth game uniforms meet league & NFHS specifications
  • Address complaints regarding a coach, by any player or parent
  • Assist the Program Director with evaluation of the Girls Youth coaches
  • Work with the Logistics Coordinator and others to reserve practice and game fields.

Logistics Coordinator

  • Attend 90% of all TLAX Board meetings
  • Work with coaches and program directors to coordinate field usage for practices and games.
  • Scheduling board meetings throughout the year and filling out the proper forms with dates and times of these events for the district office.
  • Contact head custodian with times of games weekly (Mondays). To coordinate field lights, press box, scoreboard, bathrooms with lights on, power for concessions, driving gates to be opened.
  • Arranging for Porta-Potties delivered to fields for practice as needed.
  • Checking game times continually for reschedules/cancelled games, so as to let custodian know of changes.

Equipment Manager

  • Attend 90% of all TLAX Board meetings
  • Oversee Youth Gear (end of season t-shirts, uniforms, etc)
  • Responsible for managing the shed inventory and ordering items as needed.
  • Check out balls, medical kits, uniforms and goalie gear out to teams at the beginning of the season.  Collect at end of the season.
  • Check out sticks for the Cub program. Provide pop up goals and cones for the cub’s coach.
  • Order Balls and other field equipment as necessary.
  • Coordinate the field prep for games.  Using volunteers - layout grass field, paint lines and string / mend goals as needed.
  • At the beginning of the season - facilitate the stringing of goals nets as needed.
  • Work with the Logistics Board Person to make sure goals are delivered to the proper locations to support the practices and games.
Fundraising Chair
  • Attend 50% of all TLAX Board meetings
  • Oversee all fundraising events (approximately 4)
  • Responsible for coordinating and planning up to 4 events that raise money for TLAX throughout the year.
  • Recruit volunteers to be point person for each event and as they deem necessary to help with the planning, setup and tear down of each event. 
  • Open to bringing new/fresh ideas to the club
